July 2018 Board Meeting Minutes

Secretary’s Scribbles, 11 July 2018

submitted by Suzanne Artale, Recording Secretary

The July meeting of the Board of Directors was held at the Sheridan Library (preceded by pizza, for those who wished to partake).  After approval of the minutes, reports were received from Membership and the Treasurer.  Education reminded us of the Jeff Moore clinic at the end of the month. Competitions reported that the Indy Classic shows lost about $3300, because of a lack of entries.  Several possible reasons were presented as to why entries were down, but no definitive conclusion was reached.  Time will tell if this was an anomaly or if a trend is presenting itself.  Several steps were discussed to help bolster entries for future shows.  Volunteers reported that positions still needed to be filled for the July show.  Communications reported that the logo has been reworked so that it can be more easily adjusted for different applications. This was done as an enhancement of the conversion of the newsletter and website.

Bonna McCuiston discussing the financial results of the 2018 Indy Classic.

The meeting was then turned over to Katherine Rosback, who provided us with an update on the conversion of the newsletter to e-format and the construction of the new website.  She indicated that material for the e-blasts needs to be received by the preceding Sunday for non-critical information and 12-24 hours before for critical information.  This allows her to format for a specific time of release.  Information for the newsletter needs to be in her hands by the 20th of the month for the next newsletter.  She also requested that information be received in Word documents for articles (no fancy fonts or colors, please) and .pdf format for prize lists, etc.  Submissions containing lists should be in Excel. These formats allow for easy transfer to the website.  The new website is scheduled to go live in in about a week.

With nothing further to come before the board, the meeting was adjourned.

Just as a reminder, Board meetings are always open to all members.  Attending a meeting is a great way to meet the board members, find out how and why the organization works, and make a contribution to the organization to which you belong.
